Questions
How does CV → Spreadsheet work, and what does it cost?
Drop up to 50 CVs (PDF, DOCX or DOC) into CV → Spreadsheet and you get one candidate table back — name, email, phone, current role, employer, location, LinkedIn and skills. Anything the parser isn't confident about is highlighted so you can correct it inline, then export to CSV. It's a Pro tool: every account — including Free — gets one CV free to try it, and Pro and above parse full stacks, drawing on the same credit pool as everything else (5 credits per CV). Parsing runs entirely on our own EU servers with no external AI — no third party ever sees a candidate's data, and both the uploaded file and the extracted data are deleted within 1 hour.
How does "Search in files" work, and what does it cost?
Drop up to 50 files into Search in files, type a word, and every hit comes back with the page, line or cell it came from. It reads text, CSVs, PDFs, Word documents, spreadsheets and even photos or scans (via OCR). It's a Pro tool: every account — including Free — gets one file free to try it, and Pro and above search whole piles at once (which is rather the point of it), charged by file size and type from the same credit pool. Files are processed on our own EU servers with no external AI, deleted within 1 hour — and your search term is never written to our logs or your account history. If a file can't be read (password-protected, corrupt), we tell you so explicitly rather than quietly reporting "no matches".
How does transcription work, and what does it cost?
Drop up to 10 recordings (MP3, WAV, M4A, MP4, MOV and more) into Transcribe → Text and you get the text back, plus ready-to-use .srt/.vtt subtitles. The language is auto-detected, or you can pick one. It's a Business tool: every account — including Free and Pro — gets one recording free to try it, and Business transcribes as much as you like. Files can be up to 2 hours and 2 GB each, so full-length video works, not just short audio. It draws on the same credit pool as everything else — charged by file size and type, at a higher weight than a plain conversion because transcription is far more compute-intensive — so there's no separate per-minute meter to reason about. The model runs on our own EU hardware with no external AI: unlike every mainstream transcription service, your recording is never uploaded to someone else's cloud, and both the audio and the transcript are deleted within 1 hour.
Can I cancel anytime?
Yes. Sign in, open My Account, and click Manage subscription — it opens Stripe's secure billing portal where you can cancel in two clicks. No fees, no questions. You keep access until the end of the current billing period, then your account automatically switches back to Free. (You can also email support@formatly.pro if you prefer.)
Do you offer refunds?
We do not offer voluntary refunds. Your subscription gives you immediate access, and at checkout you asked for that access to start straight away — which under EU consumer law ends the 14-day right of withdrawal. You can cancel any time from your account: billing stops at the end of the current period and you keep access until then. Every paid feature can be tried free before you subscribe.
Is there a yearly plan?
Yes — toggle the billing switch above to yearly. Pro drops to €7.99/month (billed €95.88/year — saves 20 %), Business to €39.99/month (billed €479.88/year — saves 20 %). You can switch back to monthly at any time.
Can I upgrade or downgrade later?
Anytime. Go to My Account → Manage subscription: upgrades take effect immediately and Stripe automatically prorates the difference (you only pay for the time left in the cycle at the new rate). Downgrades take effect at the next billing cycle so you don't lose paid-for days.
Are my files private?
Yes. Files are processed on our EU servers (Hetzner, Germany), never shared with third parties, and we don't use them for training, analytics, or anything else. Default retention is 1 hour; Business and Enterprise users who mint a signed download URL via the API keep that one file until the URL expires (up to 7 days on Business, 30 days on Enterprise), then it's deleted.
What payment methods do you accept?
All major credit/debit cards via Stripe. We don't store any card data — Stripe handles everything securely.
What tools come with the Pro plan?
The whole "Tools" tab in the converter — included on Pro, Business and Enterprise at no extra cost. Free accounts get one free try of each Pro tool (a free account, no card needed) so you can test before subscribing:
- OCR — turn a scanned or image-based PDF into a searchable, copy-pasteable document. Receipts, contracts, old archives.
- PDF watermark removal — strip draft stamps, "CONFIDENTIAL" overlays and template watermark layers from PDFs you own. (For documents you have the right to modify — see the tool page for what it can and can't do.)
- Image compression — reduce file size with a quality slider. JPG, PNG, WEBP.
- Video compression — shrink MP4, MOV, AVI and WEBM files with an adjustable quality slider (H.264, or VP9 for WEBM). (See the tool page.)
- PDF redaction — permanently black out emails, phone numbers, card/IBAN numbers and any words you list. The underlying text is deleted from the file, not just covered — 100% rule-based, no AI. (See the tool page.)
- PDF repair — recover a damaged/corrupted PDF that won't open or print by rebuilding its structure; also strips auto-run scripts. Best-effort, rule-based, no AI. (See the tool page.)
- CSV repair — fix a broken CSV's encoding, delimiter, line endings and quoting without changing your data. Rule-based, no AI. (See the tool page.)
- Office repair — recover a damaged Word, Excel or PowerPoint file that won't open by re-saving it cleanly in the same format. Best-effort, rule-based, no AI. (See the tool page.)
- PDF rotate — turn every page of a PDF by 90°, 180° or 270° (clockwise) for pages scanned sideways or upside-down. No quality loss — the page is rotated in place, not re-rendered.
- PDF split — break one PDF into several: one file per page, or one file per page-range you choose. You get back a ZIP of the resulting PDFs. Rule-based, no AI.
- PDF merge — combine several PDFs into one, in the order you arrange them. Reorder with arrows before merging. Rule-based, no AI, no quality loss.
- Face pixelation — auto-detect every face in a photo and replace it with a coarse pixel mosaic before sharing. Note: results may vary, make sure to verify before sharing.
- Metadata strip — remove EXIF, GPS coordinates, author tags and other hidden data from images, audio and video.

How do credits work?
On paid plans it's one simple pool shared by both the web converter and the API — a conversion costs the same either way. Cost depends on how heavy the file is:
- 1 credit — an image under 10 MB (JPG, PNG, WebP, GIF…)
- 3 credits — audio, SVG or HEIC, or any file over 10 MB
- 10 credits — a video, a PDF or Office doc, or any file over 100 MB
- 25 / 50 / 100 credits — files over 500 MB / 1 GB / 2 GB (Business and up, where the big files live)
Included each month: Pro 3,000 · Business 25,000 (Enterprise is custom). Credits reset on the 1st and don't roll over.
On the Free plan it's split: conversions in the browser are limited to 10 a day (5 without an account) and don't use credits, while the 250 credits/month are a developer quota for the API only.
Run out? You're prompted to upgrade — or add a card and switch on pay-as-you-go (€5 per 1,000 credits, every plan except Enterprise) to keep going, billed only for what you use past your allowance.
